How Master Jobs verifies that the employers reaching you are real companies — what documents we ask for, how long review takes, and how we handle your data.

In one paragraph

Employers must verify their entity (GSTIN + PAN, plus CIN for companies and LLPs) before posting jobs. Most submissions are reviewed within 1 business day — an AI model checks first, and a human admin reviews anything flagged or a sampled subset for quality control. Candidates do not upload identity documents; sign-up uses mobile or email OTP. Background verification of candidates is a separate, opt-in vendor flow.

1.Why we verify employers

Job seekers trust Master Jobs to put them in front of real opportunities at real companies. KYC (Know-Your-Customer) is the verification step that lets us guarantee the recruiter you’re hearing from operates a registered legal entity, has an active GST registration, and isn’t impersonating a known brand.

We also verify because Indian regulation requires it. The IT Rules 2021, the DPDPA 2023, the Consumer Protection (E-Commerce) Rules 2020, and GST law collectively expect platforms with paid transactions to know their commercial counterparties.

2.Who must complete KYC

  • Every employer / recruiter account — before publishing the first job posting. Free-tier and paid tiers alike. You can create draft postings without KYC, but you cannot publish them.
  • Re-submission — if your registered details change (new GSTIN, new directors, change in entity type), submit a fresh KYC. The platform will mark the old submission as superseded.
  • Candidates — do not need to upload identity documents. Sign-up uses OTP on mobile or email. See also FAQ §9 for what BGV looks like.
  • Marketplace / Launchpad sellers — will follow the same employer KYC flow when the marketplace vertical launches.

All submissions accept up to 10 additional supporting documents (board resolution, MoA, MSME certificate, ISO attestation, etc.).

4.How to submit

  1. Sign in to your recruiter account and open Employer → KYC.
  2. Select the entity type that matches your company.
  3. Upload the GSTIN certificate, PAN, and CIN (where applicable).
  4. Optionally attach additional supporting documents (up to 10).
  5. Review the submission summary and click Submit for review.
  6. Watch your account email for the verdict — typically within 1 business day.

5.Submission lifecycle

Each KYC submission moves through a small set of states:

  • pending — received, queued for AI review.
  • under_review — flagged by AI for human review, or sampled for quality control.
  • approved — you can publish job postings.
  • rejected — with a written reason. Re-submit after fixing what was flagged.
  • superseded — replaced by a newer submission.

6.How we handle your KYC data

  • Stored privately in a Mumbai-region object store, encrypted at rest. Not publicly accessible.
  • Access-logged — every read of a KYC document is recorded against the admin’s identity.
  • Not used to train AI — the AI model processing the documents in the automated check operates ephemerally; document content does not enter training corpora.
  • Retained per §9 of the Privacy Policy — approved submissions are kept for the lifetime of the account plus 7 years (GST-audit window). Rejected submissions are kept for 90 days for appeals, then purged.
  • Subject access requests are honoured per §8 of the Privacy Policy — you can request a copy of everything we hold about you, or its erasure where legal retention does not require it, from Privacy settings.

7.A note on payment-gateway KYC

This page covers KYC on Master Jobs. There is also a separate payment-gateway-side KYC that we, East-West Business Solutions, complete with our payment processor (CCAvenue, Razorpay, Cashfree) so we can accept your payments. That happens entirely at our end — no action is required from you.

8.Frequently asked questions

Who has to complete KYC?

Employer / recruiter accounts must complete entity KYC before publishing the first job posting. Candidates do not need to upload identity documents to apply for jobs — we only verify the mobile number or email you sign in with.

Background verification (BGV) of candidates is offered separately as an opt-in service through partner vendors and is governed by the consent flow on the candidate’s profile.

Why is KYC required?

Two reasons. First, to keep candidates safe from fake postings, scams, and impersonation — if a recruiter cannot pass entity verification, we don’t allow them to reach candidates. Second, to honour our obligations under Indian tax (GST), the Information Technology Rules 2021, and the Digital Personal Data Protection Act 2023.

What documents are accepted?

The exact set depends on the entity type you select on the KYC form:

  • Sole proprietorship: GSTIN certificate + PAN of the proprietor.
  • Partnership firm: GSTIN certificate + PAN of the firm.
  • Private Limited / Public Limited / LLP: GSTIN certificate + PAN of the company + Certificate of Incorporation (CIN).
  • Other: GSTIN + PAN at minimum; we may request additional evidence (board resolution, MoA, registration certificate) on a case-by-case basis.

You can attach up to ten additional documents per submission if you want to provide extra evidence (board resolutions, MoA, MSME certificate, ISO attestations, etc.).

What format should the documents be in?
  • PDF, JPG, or PNG.
  • Maximum 10 MB per file.
  • Clear, full-page scans — not phone photos taken at an angle. Blurred or partial images are the most common rejection reason.
  • The text on the document must be machine-readable. If the original was a printed form, scan at 300 DPI or higher.
  • Do not redact or obscure any field on the document — we need the GSTIN, PAN, registered address, and company name fully visible.
How long does review take?

Most submissions are reviewed within 1 business day. Our review pipeline is two-stage:

  1. Automated check (within minutes) — an AI model reviews the documents for legibility, format consistency, tampering signals, and matches the GSTIN / PAN against the company name you supplied.
  2. Human admin review (within 1 business day) for anything the model didn’t pre-approve, plus a sampled subset of pre-approved submissions for quality control.

You will receive an email at the address on the recruiter account when the verdict is final.

What happens after I submit?

The submission goes through these states:

  • pending — received and queued for review. You’ll see the status under Employer → KYC.
  • under_review — either the AI model has flagged something for human review, or a quality-control sample was selected.
  • approved — you can now post jobs without the unverified-account banner.
  • rejected — with a written reason. You can re-submit after fixing what was flagged. Common reasons: illegible scan, mismatched company name, GSTIN status inactive, CIN missing for a private/public limited company.
  • superseded — replaced by a newer submission.
What does it cost?

KYC submission and review are free. There is no per-submission fee and no monthly subscription required to complete verification. KYC is a prerequisite for posting jobs — the free tier as well as paid tiers must complete it.

Can I post a job before KYC is approved?

You can create a job posting in draft state, but you cannot publish it (i.e. make it visible to candidates) until KYC is approved. This applies to all tiers including paid plans — payment does not unlock publication; KYC approval does.

How do you store my documents?
  • Documents are stored in a private, access-controlled object store (Supabase Storage in our Mumbai region). They are not publicly accessible — only the assigned admin reviewer and your own recruiter account can access them.
  • Documents are encrypted at rest and access is logged. Every read produces an entry in our internal audit log.
  • The AI model used for the automated review processes documents ephemerally — the document content is not used to train the model.
  • Retention: approved submissions are retained for as long as the employer account is active, plus 7 years for GST audit purposes. Rejected submissions are retained for 90 days for appeals, then purged. Superseded submissions follow the retention of the superseding submission.
Can I withdraw or appeal a decision?

Yes. If your submission is rejected and you believe the decision was incorrect:

  1. Re-submit with the issue addressed — this is the fastest path for fixable problems (illegible scans, missing CIN, etc.).
  2. Email hello@masterjobs.com with subject [KYC] Appeal and your submission reference. Appeals are reviewed within 3 business days by an admin who was not involved in the original decision.
  3. For grievances under DPDPA 2023 or the IT Rules 2021, the formal channel is the Grievance Officer at /grievance.
What about candidate identity verification?

Candidate identity is verified at sign-up by mobile-number or email OTP. We do not ask candidates to upload Aadhaar, driver’s licence, or passport documents to use Master Jobs.

When an employer requests background verification (BGV) for a shortlisted candidate, that’s a separate, opt-in flow handled by partner BGV vendors, with explicit candidate consent collected for each verification, and governed by our Privacy Policy.

I represent a non-Indian employer. How does KYC work for us?

Our entity-KYC flow today is built for Indian-registered employers (GSTIN + PAN + optional CIN). For employers headquartered outside India who want to hire from India, contact hello@masterjobs.com with subject [KYC] Non-India employer and we’ll walk you through the document equivalents we accept (Certificate of Incorporation in your jurisdiction, tax-registration number, board resolution authorising the recruiter on Master Jobs).
