A job acceptance letter serves three purposes: it confirms the offer terms in writing, signals professionalism to your new manager, and starts a paper trail you'll occasionally need (for background checks, visa filings, relocation claims).

What to include

  • Thank-you line for the offer.
  • Explicit acceptance — the word "accept" must appear.
  • Confirmed title, start date, location (remote/onsite/hybrid).
  • Confirmed compensation — base, bonus, equity, sign-on if any.
  • A sentence on what you're looking forward to.
  • Ask for the next steps (paperwork, background check, equipment).

"Dear [Hiring Manager], Thank you for offering me the [Role Title] position at [Company]. I'm delighted to formally accept the offer. As discussed, I'll be joining on [Start Date] as a [Role] reporting to [Manager], based in [Location].
